Conference Venue: Hobart Convention and Exhibition Centre at the Hotel Grand Chancellor Hobart

The exhibition will be located in the Federation Ballroom of the Hobart Convention and Exhibition Centre.Please refer to the HCEC Exhibition Services for information on venue regulations and other services such as:

  • Deliveries and loading docks (including delivery labels)
  • Stand cleaning/rubbish removal
  • Sampling guidelines

Safety Requirements

For safety purposes, all staff present during bump-in or bump-out must wear a hi-vis vest and closed-toe shoes. Kindly note that children under the age of 15 are not permitted on-site during move-in or move-out. Any electrical appliances brought onsite must be tested and tagged by a licensed electrician.

Deliveries 

General deliveries should be sent to the Macquarie Street loading dock. All deliveries need to be labelled correctly using the delivery label. Goods that are not labelled clearly will not be accepted. HGCH may sign for goods but accepts no responsibility for the security or safety of goods delivered into the venue.  Deliveries will only be accepted a maximum of three days prior to the start of the venue hire. HGCH reserves the right to refuse delivery of items prior to this. Goods that do not fit in the lifts will be left on the loading bay until there is a representative from the sender to witness unpacking to accept responsibility of the goods and ensure their safety and security.   

Loading Dock height: Ground to platform 1.20m  

Deliveries to the Macquarie Street loading dock are limited to the following 

Maximum size: 1.20m W by 2.00m H by 1.20m D 
Maximum weight: 1800kg (service lift access)  

Goods must be collected 1 working day after the event has concluded, or the following business day. Items not collected may be disposed of by the Hotel. 

Storage

Limited complimentary storage for stand merchandise and small items will be available outside of the exhibition hall. 

Exhibitors may not leave boxes and packing material in the exhibition display area during the show.If you have large items, such as pallets or packaging, these need to be stored off-site.

Exhibitor Registration

The safety and security of all attendees is of utmost importance at the conference. For this reason, an official conference name badge will be required for access to all conference sessions, including the exhibition area. All representatives of an organisation, including employees and guests, are required to register via the exhibition registration form prior to the conference. 

Please email conference@speechpathologyaustralia.org.au the names and email addresses of the representatives to whom your complementary exhibition registration will be allocated, along with any additional registration requirements.

On arrival at the venue, please visit the registration desk to pick up your name badge.

Catering

Catering will be served within the exhibition area. Exhibitors' break times have been scheduled 30 minutes prior to delegates to ensure ample time for interactions.To ensure that dietary requirements are accommodated, we kindly ask that you complete the relevant section on the registration form. Our catering team will do their best to meet your needs.

Accommodation

Ozaccom has been appointed by Speech Pathology Australia as our accommodation manager. We highly recommend booking your accommodation early to ensure you get the best choice of rooms and locations. Please visit the accommodation and flights page for options and further information. 

Promotion

We encourage you to let colleagues and peers know that your organisation will be exhibiting at the conference, and be sure to invite your colleagues and peers to visit your exhibition stand and explore the conference program together. Standard Booth Package includes:

Booth

  • Exhibition booth: A 3m x 2m x 2.4m (high) exhibition booth with walls made of an aluminium frame and white melamine panels.
  • Fascia: One fascia with your company name (up to 30 characters).
  • Lighting: Two LED spotlights mounted to the rear of the booth.
  • Power: 4 AMP power supply with 4-way power board.
  • Furniture: One trestle table and black cloth with two chairs.

Note: Only one trestle table is supplied with each exhibition booth. Any additional trestle tables and furniture must be ordered through Expo Tas.

Marketing

  • Company logo on website: Your company logo will appear in the exhibition section of the conference website with a direct link to your company.
  • Company name in conference handbook: Your company name will be placed in the exhibition section of the A5 conference handbook.
  • Company logo and profile on mobile app: Your company logo and profile (100 words) will be included in the conference mobile app.
  • Delegate list: A delegate list will be provided one week prior to the commencement of the Conference.

Registration

  • Registrations: Two complimentary exhibitor passes are included, providing access to the exhibition area, daily catering, and one ticket each to the Networking Reception and Conference Dinner. 
  • Morning plenary sessions: Access to morning plenary sessions only and subject to availability.

Concurrent Session Access

If you're attending the conference as an exhibitor, the following registration options are available:

  • SPA Member: $440.00 (inc GST)
    This registration is only available to current SPA financial members who are attending their company stand as a complimentary exhibitor. It allows you to attend all concurrent sessions over the three days of the conference.
  • Non-Member: $880.00 (inc GST)
    This registration is available to complimentary exhibitors who are not SPA members. It enables you to attend concurrent sessions over the three days of the conference.

Additional Exhibitor Day Passes 

$110.00 per day (inc GST). This registration is for company representatives who are attending the exhibition stand during the day, in addition to the complimentary exhibitor/s. It includes catering, name badge, conference handbook and satchel. Note: Does not include concurrent session access or social functions, which can be purchased separately.
